How to Plan a Stress-Free Toddler Birthday Party: Tips from LA's Favorite Kids' Venue
Planning a birthday party for a toddler is one of those things that sounds simple — until you're standing in a parking lot with 80 balloons, a melting ice cream cake, and a 2-year-old who's already overtired. We've hosted hundreds of toddler birthday parties at PlayLab, and over time we've collected a set of tips that make a real difference between a smooth, joyful celebration and a stressful one.
Here's everything we've learned.
Budget your time carefully — especially setup
This is the single most important thing first-time party hosts get wrong. If you book a 10am–1pm party, that doesn't mean guests arrive at 10am and cake happens at 12:45. It means you have three hours total — including setup and wind-down.
Here's a realistic schedule for a 3-hour party:
10:00am — You arrive and begin setting up. Our team will be there to help you move furniture, hang decorations, unload your car, and get everything in place.
10:30am — Guests start arriving. Party begins!
12:30pm — Start winding things down, gathering your things.
1:00pm — Party ends, space is vacated.
That gives you two hours of actual party time, which is honestly the sweet spot for toddlers — they tend to hit a wall after two hours anyway. If you're planning anything that takes extra time (a performer, a craft activity, an elaborate cake-cutting ceremony), consider adding 30 minutes to your booking. Each additional 30 minutes is $100 and can even be added on the day of your event, if the schedule allows.
Coordinate with the venue before your party
Even if you have everything figured out, it's worth a quick check-in with the venue team beforehand. Little things — where you want the tables, whether you're bringing a cake that needs refrigerating, whether you have a performer arriving — are all much smoother when everyone is on the same page ahead of time.

Don't stress about cleaning up — that's on us
One of the questions we hear most from first-time party hosts: "How much cleanup do I need to do at the end?" The answer at PlayLab is: very little. Just take whatever you want to keep — leftover food, decorations, party favors — and leave the rest. We'll handle disposing of everything else. You've got a tired toddler to wrangle :)
Think carefully before making your own balloon garland
Balloon garlands are gorgeous, and they're one of the most popular party décor choices right now. But if you've never made one before, here's what you're signing up for: 60–90 balloons of varying sizes, a power inflator (essential — don't try to blow these up by mouth), and a couple of hours of assembly time.
A few tips if you do go the DIY route:
Don't over-inflate. Slightly underinflated balloons are easier to work with and far less likely to randomly pop mid-party.
Skip the perforated bubble tape that comes in most garland kits. Instead, use a long skinny balloon to tie clusters together — it's much more secure and way easier to work with.
Remember you have to transport it. A finished balloon garland can take up your entire back seat and trunk.

Consider the coffee and tea station for the adults
Here's an underrated party tip: the adults at a toddler party will really appreciate a coffee station. Parents of young kids are chronically under-caffeinated, and a simple coffee setup makes your party feel extra welcoming and thoughtful.

For food, keep it simple
You don't need a catered spread for a toddler party. Most parents bring a few easy snacks, a birthday cake, and juice boxes, and that's genuinely all you need. If you do want to order food, getting it delivered directly to the venue is much easier than transporting it yourself.
One practical note: we have a refrigerator and freezer on-site, so if you're bringing a cake or anything that needs to stay cold, we've got you covered.
Watch out for plastic tablecloths on breezy days
If you're having your party at our Eagle Rock location, which has a beautiful outdoor area, plastic tablecloths can become a nuisance in the breeze — they blow off constantly. We'd recommend cloth tablecloths, which we rent in a variety of colors, or we can secure plastic ones to the tables with double-stick tape, which works pretty well.
If you want to rent the projector, plan ahead
We have a projector available to rent at Eagle Rock, which is great for showing a movie or a slideshow of photos during the party.
